Unpodium by A5N Prime
Unpodium by A5N Prime

One secure platform for federal events.

Unpodium brings venues, registration and housing, agenda, budget and reporting into one system, so planners and the COR share a single live picture of every event, from 5 attendees to 3,500.

Built around the AmeriCorps Meeting and Conference PWS. Sample screens use synthetic data.

The platform

From the first requirement to the final report

01 PLAN

Everything an event needs, in one place

Site selection with the three-site minimum, room blocks, sessions, speakers, budget and the PWS lead-time schedule, with nothing kept in side spreadsheets.

  • Venues scored side by side, selected only by the COR
  • Room blocks with live pickup and accessible-room counts
  • Milestones counted back from the event date
The Unpodium agenda page listing sessions by day with their approval status and seat counts.
02 APPROVE

The Government decides what goes public

The planner prepares and the COR approves. Deliverables, agendas, speakers, announcements and sponsored travel all wait for a decision, and an edit after approval goes back for another look.

  • Deliverables measured on time and accepted without rework
  • Travel costs tracked against what the COR authorized
  • Planner and COR never approve their own work
The deliverables page showing each deliverable's due date and status, and the on-time and first-pass measures.

03 REGISTER

Registration that works on a phone

Open or invitation-only sign-up, hotel and session choices, waitlists with held offers, and self-service changes that need the registered email.

  • Full hotels and sessions open a fair waitlist
  • Freed rooms become 48-hour offers, held so they cannot be oversold
  • Attendees see only their own details

04 CHECK IN

On-site check-in that survives poor Wi-Fi

Badges carry a QR code with no personal information. Door staff scan with a phone, scan into sessions, and keep working when the connection drops.

  • Duplicate scans and walk-ins flagged on the spot
  • Scans saved on the phone and sent when it reconnects
  • Contractor and staff badges print a visible category bar

05 PROTECT

Each role sees only its own piece

Names, contact details and needs stay masked unless a role is allowed to reveal them, and every reveal is logged. The matrix on screen is generated from the live permission rules, so it cannot drift from what is enforced.

  • Hotels get a room list for their own property
  • Venues get totals, with small groups combined
  • Role boundaries tested route by route
The data exposure matrix showing what each role can see for each kind of information.
06 REPORT

Reports and a clean finish

Close-out and self-evaluation reports fill themselves from the event record. When the work is done, personal data is returned or destroyed, with a certificate to show for it.

  • Attendance, budget variance, evaluations and learning gain
  • Open exports of everything the Government owns
  • Two-person data destruction with a verifiable certificate

Built for every role

Four views of one event

The same record, shown to each person at the level they should see.

The planner's attendee list with names and emails masked.
Planner

Builds and runs the event

Registration, housing, agenda, budget, messages and help desk. Personal details stay masked until revealed, and each reveal is logged.

The sponsored travel page showing trips, estimates and authorization status.
COR

Approves, releases, authorizes

One place for everything waiting on a Government decision: deliverables, travel, announcements and site selection.

A hotel partner's room list showing guests, dates and what changed since the last confirmed list.
Hotel partner

Gets the room list, nothing more

Names, dates and room type for its own property, with new, changed and cancelled guests flagged since the last confirmed list.

A venue partner's headcount page with totals and room setup by session.
Venue partner

Gets counts for setup and catering

Totals by session, dietary and language needs with small groups combined, plus the room layout and AV notes. Never an individual attendee.

Attendees

Register, change, ask for help

No account to create. A confirmation code and the registered email are enough.

Security, privacy and OPSEC

Collect only what the mission needs. Show it only to who needs it.

Unpodium comes from nearly 20 years of experience in intelligence operations and cleared government environments, and from meeting DoD security and compliance requirements every day as a subcontractor.

Encrypted personal data

Names, emails, phone numbers, accessibility and dietary needs, and message text are encrypted field by field, not just at the disk.

Roles enforced by the server

Four roles, each limited to its own piece of the event. Tests walk every route as the hotel and venue partners to prove they cannot reach more.

Separation of duties

The planner prepares and the COR approves. Only the COR creates COR accounts, and destroying data takes two different people.

A log that shows tampering

Every reveal, export, approval and refused request is written to a hash-chained audit log that an outside auditor can re-verify.

Returned or destroyed

Open exports of everything the Government owns, then verified destruction of personal data with a certificate. Backups are handled and documented separately.

Private by default

Attendee pages show a first name only. Small groups are combined so a rare need cannot point to one person. Nothing is released early.

Honest scope. Unpodium is a demonstration today and runs on synthetic data only. Real controlled or personal information must be hosted in a FedRAMP-authorized environment, and we do not describe Unpodium itself as FedRAMP authorized. The security documentation lists exactly what is built and what still depends on hosting.

Inside the platform

The everyday work, on real screens

Help desk, messages, travel, agenda and the phone views, all from the working demo.

The help desk with requests, reply targets and status.
Help desk

Every question tracked to a reply target

Attendee and speaker questions arrive with a due time. Median reply time and the share answered in time feed the self-evaluation.

The message outbox and announcements waiting for COR release.
Messages

Nothing goes out unreviewed

Confirmations, offers and announcements wait in an outbox. Announcements to attendees need the COR's release.

The agenda by day with approval status for each session.
Agenda

Draft, submit, approve, release

Sessions stay private until the COR releases them. Editing an approved session sends it back to draft.

Try it

See it working, with sample data

There is a live demo at demo.unpodium.com. It uses synthetic people, hotels and budgets only, and it takes an access code so that it stays a demo.

  1. Ask for access. Send the form and tell us your role. We reply with a code.
  2. Pick a role. Sign in as planner, COR, hotel partner or venue partner with one click.
  3. Try the hard parts. Approve a release as the COR, fill a hotel and watch the waitlist, check someone in.
